Handling of Cash Donations

Below is the outline of how the Connecticut Garrison is to handle all cash donations going forward.??

We will continue to encourage electronic donations directly to charities in a way that eliminates any money from flowing through our hands in order to avoid any tampering.??

In cases where this is not easily possible (such as a raffle donation, blast a trooper, etc) we will follow the outlined procedure.

• When possible, a representative of the charity will be on site to collect and handle money.
• When a representative is not available, a donation box that is locked, or a cash box that is locked, will be used to store money.
• The donation box will be clearly marked with the charity we are representing for the event.?? (This is a requirement of CT Law)
• At the conclusion of each day of the event, the donation box will be counted out by two appointed individuals together to assure an equal count.?? These two individuals should usually be the Charity Officer, and the Commanding Officer.?? If either is unavailable, the Executive Officer will replace.?? If unavailable, a pre-coordinated individual will be appointed to count at the cash donations at the end of a given day.
• Following the counting, the money will be placed in a tamper-evident bag, and both counting parties will sign the bag and list the containing amount.
• The money will be converted into the form of either a Money Order, or a Cashier's Cheque, and be mailed certified to the charity the funds were raised for.?? A receipt for the money order or cashier's cheque will be logged with the garrison's records and reported at end of year with the charity report.

Using this method will give a reasonable and traceable trail to any cash donations and help prevent against tampering.
